Annual Fundraiser Gala

Despite a truncated timeline and dearth of resources, I was able to effectively plan and manage this fundraiser. From designing and managing the website and marketing materials, to arranging floral centerpieces I executed all elements of this event in a timely and cost-effective manner.

                            CHALLENGES

  • Truncated Timeline:                                Planning was paused seven months prior to my employment leaving only 3 months, instead of the traditional 11 month planning schedule, to market, promote, manage, arrange and execute the event.
  • Dearth of Support and Resources:                Given a shift in staffing and the Executive Director’s (my direct supervisor) unexpected leave of absence during the planning period, I was without the traditional resources (informational, human, material) and support that were traditionally available.

PURVIEW

Project Management: Vetted, acquired and administered project management and event software saving time and costs, and streamlining communications.

Marketing and Promotion: Designed and/or Co-Designed all marketing materials and event collateral including: invitations, marketing emails, signage and the event website.

Utilized organization’s volunteer core by forming an event committee and assigning each member a function that aligned with their skills sets and interests. They were vital in the preparation and execution of event.

Event Space: Chose color palette, flowers, designed flower arrangements and table decor, the stage and backdrop, and entrance areas. Selected music and ordered the evening’s activities. 

Vetted and selected: Music, AV, lighting, stage setup

                             OUTCOME

  • The Gala was a financial and logistical success. 
  • Raised approx. 15% above annual average
  • Came in 40% below annual budget.
  • All elements were executed in a timely manner.
  • Overwhelming positive feedback from both solicited and unsolicited sources.
